Free HVAC invoice template
A clear invoice gets paid faster. Here's what to put on an HVAC invoice, a sample you can download, and a quicker way to make your own.
What to put on an HVAC invoice
- Your business name, phone, email and address, plus your GST/HST number if you're registered.
- The client's name and the job address.
- An invoice number and the invoice date, and a due date. 14 days is common for homeowners.
- The work, line by line: the equipment with its make, model and efficiency rating, installation labour, parts like the line set and pad, refrigerant, the permit and haul-away of the old unit.
- Subtotal, any discount, HST or GST and PST and the total.
- Any deposit already paid, and the balance still owing.
- How to pay: your Interac e-Transfer email and the invoice number to put in the message, or a cheque payee.
- Short terms, such as the due date and what happens if it's late.
Tips that get HVAC invoices paid
- Write the model and serial number of every unit you install. The client needs them to register the warranty.
- For repairs, list what you tested, what failed and the part you replaced, so the next visit starts with a record.
- Show refrigerant by the pound on its own line. It's one of the first things clients ask about.
- Offer a maintenance plan on the invoice. A yearly tune-up keeps the client coming back to you.
- Note any rebate the client may qualify for, like a provincial or utility heat pump rebate, and keep the paperwork they'll need.
- Reference the quote they accepted, so there are no surprises about the price.
- Make paying easy. One tap to copy your e-Transfer email beats a bank number on paper.
- Follow up on the due date and again a week later. A polite reminder is usually all it takes.
