A clear invoice gets paid faster. Here's what to put on a tutoring invoice, a sample you can download, and a quicker way to make your own.
What to put on a tutoring invoice
- Your business name, phone, email and address, plus your GST/HST number if you're registered.
- The name and address of whoever pays, usually a parent, and the student's name.
- An invoice number, the invoice date and a due date. Many tutors bill at the start of each month, due within 7 days.
- The work, line by line: each session with its date and length, or a monthly package, then test prep, materials or travel on their own lines.
- Subtotal, any discount, HST or GST and PST and the total.
- Any deposit already paid, and the balance still owing.
- How to pay: your Interac e-Transfer email and the invoice number to put in the message, or a cheque payee.
- Short terms, such as the due date and what happens if it's late.
Tips that get tutoring invoices paid
- List each session date. Parents like to see it, and it settles any question about missed sessions.
- Put your cancellation rule in the terms, for example sessions cancelled with less than 24 hours' notice are charged.
- Offer a package of sessions paid up front. It keeps the schedule steady and you get paid before the work.
- Tutoring that follows a school curriculum is often exempt from GST/HST. Check the CRA rules before you charge tax.
- Reference the quote they accepted, so there are no surprises about the price.
- Make paying easy. One tap to copy your e-Transfer email beats a bank number on paper.
- Follow up on the due date and again a week later. A polite reminder is usually all it takes.
